Introduction
Apoliticka Capital Sdn. Bhd. (“Apoliticka”, “we”, “us”, or “our”) operates Zealia, a cloud-based legal artificial intelligence platform accessible at zealia.io and through associated applications (collectively, the “Service”). This Privacy Notice explains how we collect, use, disclose, retain, and protect your personal data when you access or use the Service.
By registering for or using the Service, you acknowledge that you have read and understood this Privacy Notice. If you do not agree with any part of this Notice, please discontinue your use of the Service.
Who this Notice applies to
This Privacy Notice applies to:
- Legal professionals, advocates, solicitors, and barristers using Zealia for legal research, case management, and document analysis;
- Law firms and corporate legal departments that subscribe to Zealia under a firm or enterprise plan;
- Individual subscribers accessing the Service under any personal plan;
- Visitors to our website at zealia.io who have not yet created an account.
If you use Zealia on behalf of a law firm or organisation, you represent that you have the authority to bind that organisation to this Privacy Notice and that the organisation accepts this Notice on behalf of its authorised users.
Personal data we collect
3.1 Account and registration data
When you create a Zealia account, we collect:
- Full name and professional designation (if any);
- Email address;
- Password;
- Professional information that may include jurisdiction of practice, and firm name where provided;
- Country and state or territory.
3.2 Billing and payment data
Payment processing is handled by our third-party payment processors. We do not store full credit card numbers or financial account credentials on our systems. We retain:
- Subscription plan details and billing history;
- Transaction identifiers assigned by the payment processor;
- Billing address for tax and invoicing purposes.
3.3 Vault documents and matter content
Zealia’s Vault feature allows you to upload documents related to specific legal matters. This is the most sensitive category of data we process. You may upload:
- Contracts, agreements, and transactional documents;
- Court pleadings, judgments, and cause papers;
- Witness statements, expert reports, and affidavits;
- Client correspondence and instructions;
- Any other document you choose to upload to a matter in the Vault.
- Contracts submitted for Contract Review, the resulting review reports, and the contract playbook positions you configure.
Important notice to legal professionals: You are responsible for ensuring that uploading client documents to Zealia is consistent with your professional confidentiality obligations, applicable privilege rules, and any client instructions regarding data handling. We strongly recommend reviewing your professional responsibility obligations and, where appropriate, obtaining client consent before uploading privileged or confidential client materials.
3.4 Query and conversation data
When you use Zealia’s chat, Trial Toolkit, Narratives, or any other interactive feature, we process:
- The text of your queries and prompts;
- Conversation history within a matter session;
- The AI-generated responses provided to you;
- Source citations retrieved from external databases in response to your query.
3.5 Usage and technical data
We automatically collect limited technical data when you use the Service:
- IP address, collected by our servers when you sign in or perform a security-sensitive action, and in irreversible hashed form to detect abuse and enforce rate limits;
- approximate location (country, and city where available) derived from that IP address by our edge network. We do not use precise or device-based location;
- browser and operating-system information contained in your browser’s user-agent string, recorded with security events;
- a coarse, hashed device signature used solely to prevent repeated free-trial sign-ups from the same device;
- feature-usage events recording which Service features are used and when (for example an AI request or a document upload), collected only if you allow analytics cookies. These events never include the content of your matters, documents or AI conversations;
- credit consumption records for each metered action, used for billing and usage limits; and
- error and diagnostic logs generated when something fails, used to fix faults.
We do not track the pages you browse or how long you spend on them, and we do not collect referring URLs or use advertising or cross-site tracking technologies. IP address and city data are automatically erased 90 days after collection; the related record and its country are kept for security and audit purposes.
How we use your personal data
4.1 Providing the Service
We use your personal data to:
- Authenticate your identity and maintain your account;
- Process and respond to your legal research queries;
- Store, index, and retrieve your Vault documents for RAG-based context in AI responses;
- Generate AI-powered legal research outputs, drafts, and analyses;

- Maintain your matter and case file structure within the platform.
4.2 Billing and account management
- Processing subscription payments and renewals;
- Enforcing plan limits;
- Issuing invoices and receipts;
- Communicating about billing issues, renewals, and payment failures.
4.3 Service improvement and security
- Monitoring for security threats, fraud, and unauthorised access;
- Diagnosing technical errors and improving platform performance;
- Conducting aggregated, anonymised analytics on feature usage patterns.
4.4 What we do NOT do with your data
- We do not use the content of your Vault documents or legal queries to train, fine-tune, or improve any AI or machine learning model, whether our own or any third party’s;
- We do not sell your personal data to any third party;
- We do not share client document content with any party other than the AI processing services described in clause 5 of this Notice, and solely for the purpose of generating your requested output.
Disclosure to third parties
We disclose your personal data to the following categories of third parties solely to the extent necessary to provide the Service:
5.1 AI service providers
- Generating AI responses — your queries and retrieved document context are transmitted to a third-party API to generate AI responses. That provider handles the data only on our instructions and under its API terms, which prohibit use of API inputs for model training without consent;
- Embeddings — document text is transmitted to a third-party embeddings API to generate vector representations for semantic search, again only on our instructions and under our agreement with that provider.
5.2 Infrastructure providers
- Your account data, Vault documents, document embeddings, and query logs are stored with a third-party cloud database and object storage provider, operating on enterprise-grade managed PostgreSQL and object storage infrastructure;
- Our document conversion microservice is hosted on third-party cloud application hosting platforms; uploaded files pass through this service transiently during the text extraction process and are not retained by the hosting provider beyond the duration of the conversion task;
- The infrastructure providers described above operate on underlying hyperscale cloud computing platforms, which provide the foundational compute, networking, and storage services upon which the Service’s infrastructure stack is built.
5.3 Legal data providers
To respond to your legal research queries, your query terms are transmitted to a third-party public legal database operated by a non-profit organisation, for the purpose of retrieving relevant case law and legal authorities. Query terms transmitted to this service are not linked to your identity or account and are processed solely for the purpose of returning relevant search results. This service operates a publicly accessible API and its legal content is made available under open access principles.
5.4 Payment providers
Payment card transactions, subscription management, and billing are processed by one or more third-party payment providers incorporated in the United States and/or other jurisdictions, as applicable to your subscription and location. These providers handle all payment card data directly and Apoliticka does not receive or store your full payment card details on its own systems. Each payment provider operates under its own privacy policy and is independently responsible for the personal data it collects in connection with payment processing. Where required, your payment provider may also act as Merchant of Record for transactions, assuming responsibility for tax collection and remittance.
5.5 Legal obligations and enforcement
We may disclose your personal data to law enforcement, regulators, or courts where required by applicable law, court order, or legal process. Where permitted by law, we will notify you of such a disclosure.
Where your data is processed
Apoliticka Capital Sdn. Bhd. is incorporated in Malaysia. The Zealia managed database and object storage are hosted with a third-party cloud provider in the Asia-Pacific region, and are encrypted in transit and at rest. Other third-party service providers listed in clause 5 are predominantly based in the United States. Your personal data, including Vault documents and query content, is therefore processed outside Malaysia.
In every case we remain the party responsible for your personal data. We work only with providers that encrypt data in transit and at rest, we bind them by contract to use the data solely to deliver the Service, and we do not permit them to use it for their own purposes.
Data retention
| Data category | Retention period |
|---|---|
| Account data | Kept while your account is active; permanently deleted when you delete your account or complete termination. No reactivation grace period; deletion is immediate and irreversible. |
| Vault documents | Kept while the account is active; deleted immediately on your deletion request or on account termination. You may export copies during the termination flow before deletion. |
| Document embeddings | Deleted automatically at the same time as the source document or matter. |
| Query and conversation logs | Kept while your account is active so you can return to prior work; deleted with the account or when you delete the item. Not anonymised or reused for aggregated analytics. |
| Billing records | Retained by us and our payment provider for 7 years from the transaction date as part of our accounting and tax records; these survive account deletion in de-identified/transactional form. |
| Usage and technical logs | Automatically purged 90 days after the event by a scheduled job. |
| Workspace audit logs | Retained for the life of the organisation account for governance and dispute-handling, then deleted with the organisation. |
| Support correspondence | 3 years from last interaction. |
You may ask us to delete your personal data earlier, apart from the billing records we keep for our own accounting and tax purposes.
Security measures
We implement the following technical and organisational measures to protect your personal data:
- Encryption at rest for all data stored in our third-party cloud database, including Vault documents and vector embeddings;
- Row-level security policies in our database ensuring each user can only access their own data;
- Access controls limiting internal access to personal data on a need-to-know basis;
- Hashed and salted password storage — we never store plaintext passwords;
- Regular security monitoring and logging of access to production systems.
No method of transmission over the internet or electronic storage is 100% secure. While we implement industry-standard measures, we cannot guarantee absolute security.
Children’s privacy
Zealia is a professional legal AI platform designed exclusively for use by legal professionals and adults. We do not knowingly collect personal data from persons under the age of 18. If you believe a minor has provided us with personal data, please contact us at privacy@zealia.io and we will delete that information promptly.
Third-party links and integrations
The Service may contain links to third-party websites or display content retrieved from external legal databases. This Privacy Notice does not apply to those third-party services. We encourage you to review the privacy policies of any third-party service you access through Zealia.
Changes to this Privacy Notice
We may update this Privacy Notice from time to time to reflect changes in our data practices, applicable law, or the features of the Service. When we make material changes, we will:
- Update the effective date at the top of this Notice;
- Notify registered users by email to the address associated with your account; and
- Display a prominent notice within the platform for a period of not less than 30 days following the change.
Your continued use of the Service after the effective date of a revised Privacy Notice constitutes your acceptance of the updated terms. If you do not agree to the revised Notice, please discontinue your use of the Service and contact us to close your account.
